Administrative Manager – Icahn School of Medicine at Mount Sinai (ISMMS) Job Summary

The ISMMS Clinical and Translational Science Award (CTSA) is seeking an Administrative Manager with specific expertise in grants finance management, both pre & post award, and experience in the coordination and submission of large center grants. This position will work closely with the Director of the CTSA and Office of Research Services (ORS) and the CTSA Principal Investigator and Dean for Translational Biomedical Sciences. The position will be instrumental in ensuring that the CTSA and ORS are adhering to institutional priorities and will participate in the development and implementation of strategic initiatives that seek to maintain and enhance excellence in Clinical and Translational research and oversight of the grant specific finances and administration.

Principal duties include

The Administrative Manager (AM) oversees overall grant efforts and specifically is responsible for the financial management of the CTSA, including preparing annual budget, monitoring expenditures, providing periodic forecasts, ensuring compliance, and communicating with the internal ISMMS offices of Grants and Contracts (GCO) and Sponsored Finance Accounting (SFA) and external agencies of NCATS Grants Management Office. The AM is also responsible for implementing and overseeing human resources management of the CTSA. S/he works closely with the CTSA Director, Principal Investigator and CTSA leadership team and all service directors and module leaders of the CTSA program. Under general direction, the position requires independent judgement and initiative.

Duties Include

Grant Management Finance

  • Overall responsibility for the financial management of the CTSA and ORS, inclusive of the institutional operations budgets
  • Monitor implementation of budgets throughout the year by rigorous expenditures review with appropriate corrections as needed, inclusive of grant budgets and other institutional operations budgets
  • Provide analysis of grant expenditure to PI, Director, Module Leaders and others as needed
  • Prepare the annual non-competing renewal CTSA grants budgets with the PI, inclusive of the RPPRs
  • Oversee the expenditures of all Pilot Project funding working closely with each pilot project recipients
  • Ensure appropriate fiscal controls and systems are in place and followed
  • Ensure that all grant-based funds are spent in accordance with the award regulations and institutional budgets are expended and managed according to institutional policies
  • Provide periodic forecasts and project expenditures
  • Analyze fiscal management of the CTSA by working with the Director, PI and constituents on planning future expenditures, identifying problems with current spending and proposing solutions to manage the CTSA finances as efficiently as possible.
  • Make occasional trips related to CTSA activities.
     

Administrative Management

  • Coordination of all sections and administrative requirements for non-competing and competing grant renewals, administrative supplements and responses to other related RFAs, both federal and non-federal
  • Coordinate meetings of all administrators of other CTSA modules and institutional research administration offices to assess workflow, operations and quality improvement of CTSA functions
  • Administrative/Human Resource Management
  • Support and coordinate recruitment of CTSA staff positions. Assure adequate training and development of those staff.
  • Maintain staff personnel records.
  • Oversee the annual in-service requirements for staff for appropriate programs including licensing requirements, etc.
  • Develop strategies and programs as charged, including operational and staffing plans, equipment and supply requirements.
  • Monitor and support evaluation of staff performance.
  • Interpret divisional/departmental and University policy as needed. Identify policy problems and implement creative resolutions.

Qualifications: Experience: 

Bachelor's degree or minimum 5 years experience as a grants manager in an Academic Medical Center.
