Communications Specialist

Detailed Description: 

Establish and maintain a cohesive visual identity in accordance with existing brand standards and guidelines for the Clinical and Translational Science Institute (CTSI), the academic home for clinical and translational research and training at the University of Florida (UF), under the direction of the CTSI Associate Director, Communications. Assist with the day-to-day and long-range communications needs of the CTSI, with an emphasis on visual storytelling and design. Develop content for a variety of print and digital channels, including websites, social media, email newsletters, presentations, print fliers and brochures and display banners. Produce project-related materials — such as infographics, charts, templates, email announcements, photography, illustrations, video clips, web pages, social posts and other multimedia — that put a human face on translational research, furthering external audiences’ understanding of and support for the CTSI, and generating interest in CTSI services to an internal audience of UF research teams. Assist with activity and event coordination as needed. Participate in communications planning to ensure integration of visual elements from the outset. Assist with analytics and reporting to ensure effectiveness and an outstanding user experience. Work closely with the CTSI “home team” and the UF Health Communications staff to ensure adherence to uniform standards and policies and to avoid duplication of effort. Must be proficient in Adobe Creative software with an emphasis on InDesign, Photoshop and Illustrator. Must be familiar with web content management, social media content management, analytics and email newsletter tools.

- PRODUCTION & DISSEMINATION
Establish a cohesive visual identity for the CTSI in accordance with existing brand standards and guidelines.

Format email newsletters and other digital communications using responsive design to optimize reach on mobile and desktop.

Refresh templates for CTSI program fliers and posters, and keep them updated with current information.

Design CTSI banners and display materials.

Produce infographics, charts and other visual aids to complement presentations and reports as needed.

Take and edit photographs for day-to-day digital communications needs, and/or arrange for photos, videos and graphic design from partners, vendors or other sources.

Facilitate review and approval processes required for CTSI communications materials.

Assist with creating and maintaining a social media presence for the CTSI.

Adhere to branding conventions and create additional marketing and communications collateral aligned with branding.

Adhere to regulations concerning patient information and privacy.

Link with UF Health Creative Services team to coordinate, review and/or approve designed materials, templates, etc., as appropriate.

- WRITING & EDITING

As needed, write and update content for a variety of print and digital materials describing CTSI resources, including fliers, posters, email newsletters, web posts and social media posts.

Assist with scouting story opportunities; conduct interviews and background research; and draft stories about CTSI-supported activities for print and digital outlets.

- PUBLIC RELATIONS

Serve as communications liaison for CTSI programs to help identify communications needs, and develop goals and solutions.

Develop and maintain shared communications tools and templates for CTSI programs.

Respond to inquiries from researchers and other stakeholders; assemble and/or verify information for fact-checking, media inquiries and other communications inquiries, in close coordination with UF Health Communications.

Participate in UF Health Communications and/or national Clinical and Translational Science Award Consortium initiatives, projects, and committees, as appropriate.

- PLANNING & REPORTING

Conduct target audience, background and benchmarking research for communications projects.

Develop, implement and update internal communications plans for CTSI initiatives and recurring activities.

Participate in CTSI strategic communications planning.

Compile analytics for CTSI website and external web properties relevant to CTSI strategic goals, as available.

Compile email newsletter analytics and make recommendations to optimize effectiveness of communications goals.

Manage email newsletter subscription processes and subscriber lists.

Compile data and materials for CTSI communications-related reports.

Compile reports on social-media analytics as those accounts are established.

Track, communicate and evaluate progress of projects and associated metrics throughout process.

– BEST PRACTICES

Keep up-to-date on new technologies, techniques and trends in communications, particularly visual communications and graphic design.

Develop best practices and standard operating procedures for CTSI visual communications.

- ADMINISTRATIVE SUPPORT

Arrange interviews and meetings for CTSI-related communications projects.
Draft meeting notes and project/ process documentation.
Maintain CTSI listservs, contacts and mailing lists.
Organize and maintain CTSI communications files.
Complete required trainings and participate in drills, as requested.
Perform other duties, as required.
Request, order, pick up and/or deliver materials or supplies when needed (occasional driving and light physical activity may be required).

 

Qualifications: Skills: 

KNOWLEDGE
 
Familiarity with the fundamentals of good graphic design.

Basic knowledge of commercial printing.

SKILLS
Proficiency with Adobe Creative software, including InDesign, Photoshop and Illustrator.

Proficiency in Microsoft Office Word, Outlook, PowerPoint, and Excel.

Familiarity with web content-management systems such as WordPress, analytics tools such as Google Analytics, and email newsletter programs such as MailChimp.

Familiarity with organizational accounts’ use of social media platforms, such as Facebook, Twitter and LinkedIn, and account-management tools such as HootSuite or Sprout Social. Familiarity with social analytics.

Qualifications: Experience: 

MINIMUM REQUIREMENTS:

A bachelor's degree in an appropriate area of specialization and one year of appropriate experience or an equivalent combination of education and experience.

Experience communicating complex technical and scientific information clearly and efficiently to a general audience.

Experience in communication arts, with an emphasis in graphic design.

Experience creating promotional materials that impress and inspire, and developing innovative graphics solutions.

Experience fostering an outstanding user experience in digital communications.

Experience storyboarding and/or translating design ideas to clients and/or management.Experience in health care and/or academic research environments
